Register at smeboss.my/register — takes under 60 seconds. Enter your company name, choose a plan (you can start with Free), and you're ready to log in. The onboarding wizard will guide you through setting up your logo, SSM number, TIN and bank account step by step.

No. SMEBoss is a fully web-based app — access it from any browser on your phone, tablet, or desktop. No downloads, no manual updates, no installation required.

Most SMEs complete setup in 10–30 minutes: logo, company info, TIN, bank account, and first employee. If you have existing data in Excel, we support CSV import for customers and inventory.

Yes. SMEBoss supports CSV import for customer lists and inventory items. For historical accounting or invoice data, contact us at hello@smeboss.my — our team can assist with manual migration for Pro customers.

Yes. Every module has a guided onboarding tour (click the question mark icon in the app). We also provide help center articles and short tutorial videos. For quick questions, email hello@smeboss.my.

There are 3 roles: Owner — full access including billing, settings, and transfer of ownership; Admin — full access to all business modules (invoices, HR, payroll, etc.) but no billing control; Staff — limited to their personal portal only (check-in, leave applications, payslip viewing). You assign roles when inviting team members.

Free is free forever but limited: 3 staff, 20 customers, 30 inventory items, and invoice PDFs include a watermark. Pro (RM 99/mo or RM 999/yr) removes all those limits: 50 staff, 5 admins, unlimited customers & inventory, HR, Payroll, full Reports, Team Invitations, and WhatsApp + phone support. Lifetime (RM 9,999 one-time) is everything in Pro with unlimited staff and admins too — pay once, no recurring bill.

Yes. Every new account gets a 7-day full trial with access to all Pro modules. No credit card required to start. After the trial, you choose: subscribe to Pro (RM 99/mo or RM 999/yr), buy Lifetime (RM 9,999 one-time), or automatically drop to Free.

The annual Pro plan is RM 999/yr (about RM 83/mo) vs RM 99/mo billed monthly — around 16% off. Switch from monthly to annual anytime from Settings → Billing.

Yes. Upgrades take effect immediately — new module access opens right after payment. Downgrades take effect on the next billing cycle; your data is not lost. Lifetime is a one-time purchase and cannot be refunded.

We support Stripe (Visa, Mastercard credit/debit cards) and FPX via ToyyibPay (all Malaysian banks: Maybank, CIMB, Public Bank, RHB, Hong Leong, AmBank and others). A digital receipt is sent to your email after every payment.

Yes. The listed prices (RM 99 / RM 999 / RM 9,999) are before SST. The Malaysian government levies 8% SST on paid plans at the current rate. The SST amount will be shown at checkout.

Your account automatically drops to the Free plan. Your data is not lost — access to paid modules (HR, Payroll, advanced Reports) is just restricted until you re-subscribe.

Yes. SMEBoss invoice PDFs include all fields required by LHDN: company name, address, SSM number, TIN (Tax Identification Number), MSIC code per line item, SST rate, total, and invoice number. This format is valid for audit and LHDN e-Invoice submission.

Yes, two ways: (1) Email the PDF invoice directly from within SMEBoss, or (2) Generate a WhatsApp link to send to your customer in one click. Customers receive a professional PDF without needing to log in anywhere.

After an invoice is sent, the system automatically emails your customer a reminder on day 3, day 7, and day 14 after the due date if the invoice is still unpaid. You can toggle it off per invoice or disable it entirely in Settings.

Yes, with one button. Open an approved Quotation, click "Convert to Invoice" — all items, prices and customer details are copied automatically to a new invoice. No retyping needed.

SMEBoss is in the process of integrating with the MyInvois portal for e-Invoice submission. In the meantime, the SMEBoss PDF format already contains all the required data for your own records. This update will be announced by email to all users.

Yes. SMEBoss supports bilingual mode — Bahasa Malaysia and English. You can set a language preference per customer in their profile. The invoice PDF will be generated in the language you set.

Staff check in from their phone — the system captures GPS coordinates and compares them against the geofence you set (e.g. within 100 meters of the office). If outside the zone, the check-in is flagged as "Out of Zone" for review. No punch card machine needed.

Yes. Staff log in to their portal (mobile-friendly), choose leave type (Annual, Medical, Unpaid, etc.), dates, and add a note. A notification is sent to their manager/admin for approval. Everything is recorded in the leave calendar.

Yes, all of them. The system detects each employee's age from their IC number and applies the correct rates: EPF 13%/11% (employer/employee), SOCSO per schedule, EIS 0.4%/0.4%, and PCB per the latest LHDN PCB schedule. Rates are updated annually to match the government budget.

After the Owner finalizes payroll for a month, click "Send Payslips" — the system auto-generates PDF payslips and sends them to each employee's personal email. No printing or manual file sharing needed.

Yes. Staff log in to their portal and can view this month's payslip and historical payslips under the Payroll tab. PDF payslips can also be downloaded directly from the portal.

HRDF/HRD Corp deduction is not yet available in the current version. SMEBoss currently auto-calculates EPF, SOCSO, EIS and PCB. HRDF support is on our roadmap — follow our updates for the latest.

Not necessarily. SMEBoss is designed for business owners — the interface is simple enough to use without formal accounting training. That said, the Chart of Accounts and Journal Entry modules are better handled by your accountant or bookkeeper if you have one.

Pro and Lifetime: Profit & Loss (P&L), Balance Sheet, Trial Balance, sales reports, HR reports, inventory reports, payroll reports, Aged Receivables (who owes what and for how long) and SST Summary. All can be exported as PDF, CSV and Excel.

Yes. You can invite an external accountant as a team member with the "Accountant" role (Pro plan: Team Invitations). They get access to the Accounting and Reports modules only, without seeing HR or Payroll data.

Yes — fully integrated. When an invoice is marked as paid, an accounting journal is auto-generated (debit Bank Account, credit Sales Revenue). No manual double-entry. Your P&L is updated in real time.

Data is stored in Neon PostgreSQL — a cloud PostgreSQL infrastructure with SSL/TLS encryption, Asia Pacific region (Singapore). Automatic backups every 24 hours with 7-day point-in-time recovery. Your data is not stored on servers outside Asia.

Yes. SMEBoss uses multi-tenant architecture with full isolation — each company has a unique tenant_id. No other company can access your data, even though they share the same platform.

Your account is frozen but data is retained for 30 days. You can re-subscribe anytime within that window and regain full access. After 30 days with no action, data is permanently deleted and cannot be recovered. You can export all your data as a ZIP file before cancelling.

Yes. Settings → Data Export → Download ZIP. The ZIP file contains 7 CSV files: customers, invoices, products, employees, leaves, payroll_runs, and journal_entries. Available anytime, at no extra charge.

Yes. SMEBoss is built in accordance with Malaysia's PDPA 2010: personal data for employees and customers is encrypted, access is restricted by role (role-based access control), and you as the business owner are the data controller. We are your data processor.

SMEBoss works on all modern browsers: Chrome, Safari (Mac & iOS), Firefox, Edge, Samsung Internet. We recommend Chrome or Safari for best performance. Internet Explorer is not supported.

SMEBoss is fully optimised for mobile browsers — works great on iPhone and Android via Chrome or Safari. A dedicated mobile app is in development.

All plans: email hello@smeboss.my (response within 1 business day). Pro plan: adds direct WhatsApp support (+60 — number in Settings) and phone for critical issues. No hidden support charges.

SMEBoss is updated every 2–4 weeks with new features and bug fixes. Updates happen automatically in the background — you don't need to do anything. A changelog is sent to users by email each month.
